Refunds, deposits, and rescheduling

Eligibility

Refunds depend on engagement type, notice given, and whether on-site or compilation work has already begun. Requests should be emailed to hello@system-flowbase.click with the engagement name and confirmed dates.

Timeframe for requests

Please submit cancellation or refund requests at least 5 business days before a scheduled on-site visit or briefing, and before the monthly file cut-off for recurring packs. Requests after work has started are assessed as partial refunds only.

Stock Visibility Review & Stocktake Facilitation

• Full refund of fees paid if you cancel 5 or more business days before the visit and no preparatory travel costs were incurred
• 50% refund if you cancel with 2–4 business days’ notice
• No refund if you cancel within 1 business day, fail to provide agreed site access, or after the on-site visit has begun
• Deposits used to hold dates are non-refundable within 5 business days of the visit but may be credited once toward a rescheduled date within 90 days

Monthly Operations Report

• Cancel before the monthly cut-off for a full refund of that month’s fee if compilation has not started
• After file ingest begins, that month’s fee is non-refundable; future months may be cancelled with written notice
• Prepaid multi-month retainers refund unused full months only

Operator Reporting Briefing

Sessions cancelled 3 or more business days ahead receive a full refund. Later cancellations may be rescheduled once within 60 days; a second late cancellation forfeits the fee. No-shows without notice are non-refundable.

Work already started & materials

Time already spent on intake calls, zone plans, or compilation is deducted from any partial refund at our standard day rate. We do not purchase retail pharmacy stock for clients; therefore there are no purchased-goods returns. Printed copies prepared for a visit are non-returnable once produced.

Rescheduling

One complimentary reschedule is allowed per on-site engagement when notice is given 5 or more business days ahead. Additional reschedules may incur a scheduling fee stated on your estimate.

Processing

Approved refunds are processed within 14 business days to the original payment method where possible. Bank transfers may take longer depending on your institution.
